Letters are an effective means of communication. In spite of the advent of modern technologies like cellphones and SMS, letters still hold their important and prominent place in the field of communication.

Types of Letter Writing Pdf

1. Formal letters: These letters are written in formal situations. These are written to organizations, firms, government authorities, editors and school authorities, etc. The purpose of a formal letter is related work, business, permissions, etc.

2. Informal letters: These letters are written to friends and relatives. These are informal in the manner of language, style and content. These are more expressive, emotional and personal. The purpose of an informal letter is only to exchange news and information regarding friends and family.

Parts of A Formal Letter Pdf

  3. Receiver’s name and address.
  4. Salutation: Form of address/greeting like ‘Dear Sir’.
  5. Subject: Reason for writing the letter.
  6. Body of the letter: This contains the description of the contents. It should be written in simple, direct and formal language. The content should be conveyed in three paragraphs. The first paragraph is introductory, a restatement of the subject. The second paragraph should state the problem/ issue in detail. The third paragraph states what is expected of the receiver of the letter. It should contain any suggestions that the writer wants to giye, for example, to municipal authorities, etc.
  7. Subscription: This is the leave-taking note and depends upon the relationship between the writer and the addressee, such as ‘yours faithfully’ and ‘yours sincerely’.
  8. Signature of the person and full name who has written the letter, in capital letters within brackets below the signature.

Apart from the format, the expression is also an important part of letter writing. The ideas should be expressed in a logical sequence with coherence, using correct grammatical structures. A formal letter should always be precise, to the point, crystal clear and easy to understand. It should be written in legible handwriting.
